Who are we?

Cartridge People is the leading printer consumables supplier of ink and toner cartridges in the UK and we’re committed to protecting and respecting your privacy. We’re registered as The Cartridge People Ltd in the UK (Company No. 08257316). The registered address is The Cartridge People Ltd, Unit 13 Orion Park, University Way, Crewe, CW1 6NG.

We act as the data controller when processing your data and we are committed to protecting and respecting your privacy.

How do we collect information from you?

We collect information about you from our website when you register for an account, place an order or use one of our contact forms. We can also collect information that you supply as part of online chats with our Customer Service team.

What type of information is collected from you?

The personal information we collect might include your name, address, email address, IP address and information regarding what pages are accessed and when. If you make a purchase with us, we will store the orders and products you have purchased and these are accessible via your online account.

When you place an order, your card information is not held by us. It is collected by our third party payment processors who specialise in the service of online capture and the processing of credit/debit card transactions. Credit/debit card transactions are processed by Braintree (part of PayPal) and you can view their privacy policy here.

How is your information used?

We may use your information to:

  • Process orders that you have submitted.
  • Process payments when speaking to our Customer Service or Sales team when a payment method has been saved.
  • Ask for your opinion on the products and services we provide.

  • Personalise marketing communication if we have permission to contact you. We will hold your information on our systems for as long as is necessary for the relevant activity.

Saving Payment Information

When checking out on our website, we will save a reference to payment information used. We do not have direct access to payment details, as these are securely vaulted by our 3rd party payment provider Braintree (part of PayPal), we only have access to a reference of this data. This allows for a simpler checkout website experience on future orders and also the ability for quicker payments to be taken when speaking to one of our advisors after the appropriate authorisation has been given by you.

You can opt out of payment information being stored during the checkout process or in your account at any time.

Legitimate Interests

On occasions we may use your personal information under the legal basis of legitimate interests. An example of this is sending you emails about products you have bought or products which are similar; however if you told us you don’t want emails like this; we won’t email you marketing emails at all. In all cases a thorough Legitimate Interest Assessment (LIA) will have been carried out to ensure that your interests, and any potential risks to you against our own interests, are appropriate and proportionate.

Who has access to your information?

We may pass your information to our third party service providers for the purposes of completing tasks and providing services to you on our behalf (for example, processing payments and sending email communication). However, when we use third party service providers, we disclose only the personal information that is necessary to deliver the service and we have a contract in place that requires them to keep your information secure and not use it for their own direct marketing purposes.

We will never sell or rent your information to third parties.

Keeping your information secure

This site uses SSL encryption to ensure that all personal information is handled in a secure manner. This encryption prevents third parties from gaining unauthorised access to your personal data when using our website. Most web browsers show a green padlock symbol to confirm when an SSL encryption is in place.

We also take further steps to keep your data secure and protect against unauthorised access including the use of Firewalls, Antivirus/Malware protection and blocking access to suspicious traffic.

We are committed to delivering a positive email marketing experience, and it is important that we obtain an appropriate legal basis in order to communicate.

During the course of a sale, we use legitimate interests as a legal basis for sending you marketing communication. You have the opportunity to object to marketing before completing your order, and we will give you this opportunity in every future communication. We work hard to ensure the email communication we send is relevant and contains similar products and services offered by Cartridge People.

You can also choose to receive email marketing by freely giving explicit consent via either our newsletter signup forms or when you register for an account.

How to access, update and remove your information

We always try to ensure your data is as accurate as possible. We therefore encourage you to update your account with new data, especially around email address and billing/delivery addresses via your online account. If you believe the data we hold about you is incorrect then please contact us and we will update this in our systems as soon as is reasonably possible.

You have the right to ask for a copy of the information Cartridge People hold about you. There is no charge to have a copy of this information. However, further copies of the same information may result in a reasonable administration fee. This information will be provided within 28 days of request.

If you wish for us to stop holding your personal data then you have the right to have this information removed from our systems. However, in accordance with UK tax law; we are required to securely store basic personal data of our customers for a minimum of six years.

Please be aware that we may require you to verify your identity before requesting a copy of, updating or removing personal information to ensure personal data is kept safe and secure.

Profiling

We may analyse your previous purchases to create marketing communications that are highly relevant to you in accordance with your marketing preferences. This information may also be used to enhance your onsite experience and promote the relevant printer consumables for the printers associated with your account.

Website Recording

Our website may use the website recording service provided by Hotjar Ltd. The Hotjar tool may record mouse clicks, mouse movements, page scrolling and any text keyed into website forms. The information collected does not include your password or any payment information and any personal data is scrambled in the recording so individuals cannot be identified. We collect this information to improve our website usability and we also use it for reporting purposes.

Data Retention

Fulfilment and Financial Records: are kept for as long as required under financial regulations; after which time we may delete such records; typically after seven years.

Website Account: We reserve the right to delete your website account if your account has not been used for an extended period.

Email Marketing: Where you have consented for marketing communication, we will keep your data until you notify us otherwise or withdraw consent. We may delete your data for email marketing purposes after a prolonged period of inactivity.

Order confirmation page voucher offers

After placing an order on the Cartridge People site, you have the option to select a voucher from one of our carefully selected partners via Sovendus GmbH.

On selecting your voucher, you will be asked to provide your name and email address in a form. Submitting this form will transmit your name and e-mail address in encrypted form to Sovendus so that they can email you your selected voucher.

If you place an order on the Cartridge People site using a Cartridge People voucher code provided by Sovendus, we will also transmit your IP-address, order number, order value with currency, session ID, coupon code and time stamp to Sovendus for billing purposes.
